  • Selling your property, or buying our property: if you wish to sell your property to us, or buy a property from us, we’ll process your contact details (including your name, email address, address and phone number) to discuss the sale and complete the purchase. We will also process certain information about your property (if you are selling your property to us), including the price, address, location and any other information that describes the property. Our lawful basis for processing your contact details is that it is necessary for the performance of a contract to which you are a party.
  • Facilitating the sale of a property: if you are facilitating the sale of a property, you’ll likely be working for an estate agent, solicitors, conveyancer, auction house, bank or mortgage lender, or insurance broker or provider. In such cases, we’ll process your business contact details (including your name, email address, phone number and any information you disclose to us within your email signature) to discuss the sale and complete the purchase. Our lawful basis for processing your business contact details is that it is in F&B’s legitimate business interests in order to carry out our business activities of purchasing and selling properties.
  • Renting a property from us: if you wish to rent one of our properties, we’ll process your contact details (including your name, email address, address and phone number) to discuss the rental. We will also need to complete background checks using our third-party lettings agent, who will share with us only the necessary information to facilitate such background checks, including anything that arises out of the background checks that we will need to consider further before proceeding with your rental. We will share your contact details with utilities companies to enable you to fulfil your responsibility to pay the cost of utilities while renting the property. Our lawful basis for processing your contact details and information relating to your background checks is that it is necessary for the performance of a contract to which you are a party.
  • Facilitating a property rental: if you are facilitating a property rental, you’ll likely be working for an estate agent or lettings agent. In such cases, we’ll process your business contact details (including your name, email address, phone number and any information you disclose to us within your email signature) to discuss the rental. Our lawful basis for processing your business contact details is that it is in F&B’s legitimate business interests in order to carry out our business activities of letting properties.
  • Carrying out our business activities: 
    • if you are providing us with services, such as accountancy and/or legal advice, we'll process your contact details (including your name, email address, phone number and any information you disclose to us within your email signature) in order to receive the services you provide to us. Our lawful basis for processing your contact details is that it is necessary for the performance of a contract to which you are a party.
    • we may aggregate and anonymise your personal data (specifically information about properties) to create datasets, reports and/or conduct analysis for internal business purposes. Aggregated data may be derived from your personal data but is not considered to be personal data under the applicable data protection laws as it does not directly or indirectly reveal your identity. We may do this for the purposes of helping us to improve our business. Our lawful basis for aggregating and anonymising your personal data as we have described, is that it is in F&B’s legitimate business interests in order to improve our business.
  • Compliance with legal or regulatory request: we may be required to process your personal data to comply with a legal or regulatory request. Our lawful basis for processing your personal data is to comply with a legal obligation to which we are subject.

  • Conveyancers, solicitors, auction houses, lettings agents, banks and/or mortgage lenders, utilities companies: in order to buy and sell properties, and let out our properties, we engage with third parties that assist with the sale or letting of such properties. We share your personal data with these third parties to the extent necessary for such third parties to assist with the sale or letting of such properties.
  • Third party service providers for the operation of F&B: to operate F&B we rely on carefully selected third parties to provide us with certain services. These include our website and email hosting provider to provide our Website and facilitate our email accounts, and cloud services provider to manage and store records of your personal data (for example Microsoft Office). We permit these third-party service providers to process your personal data only to the extent necessary to enable us to carry out the business operations of F&B. We do not permit these third-party service providers to process your personal data for any other purposes.
  • To comply with legal or regulatory requests: if we are under a duty to disclose or share your personal data in order to comply with any legal or regulatory obligation, we may share your personal data with a regulator or law enforcement agency.
